Introducing Team Seats & Roles: Share One Account With Your Whole Team

Until now, running Badges Ninja as a team meant sharing a single set of login credentials — or spinning up separate accounts and losing a shared view of your issuers, badges, and credentials. Today that changes. Team Seats & Roles lets an account owner invite teammates by email to work inside one account, each with their own login and a role that fits what they actually do.

No more shared passwords. No more duplicated issuers across personal accounts. One account, one set of resources, and clear permissions for everyone who touches them.

What you can do now

An account owner can invite colleagues to join their account. Once a teammate accepts, they sign in with their own email and see the same issuers, badge classes, and credentials the account owns — scoped to what their role allows. You manage everyone from one place under Settings → Team.

The four roles

Every member gets one role. Roles are cumulative in scope, from read-only up to full control:

• Owner — full control, including billing and the plan. The account creator is the Owner.
• Admin — manages members and all resources, but not billing.
• Editor — creates badges and issues credentials, but can’t manage members.
• Viewer — read-only access to issuers, badges, and credentials.

This maps to how most teams actually work: your designers and program managers issue as Editors, a team lead who onboards people is an Admin, finance or a stakeholder who just needs to check on issuance is a Viewer, and the person who owns the plan stays the Owner.

How to invite a teammate

The flow takes about a minute:

1. Go to Settings → Team in your dashboard.
2. Enter your teammate’s email address and pick a role.
3. They receive an invitation email with an accept link.
4. They click the link and log in — the email they use to sign in must match the one you invited.
5. They’re in. Their access reflects their role immediately.

Because acceptance is tied to the invited email address, an invite can only be claimed by the person you actually sent it to. You can change a member’s role or remove them at any time from the same Settings → Team page.

Seats included on every plan

Seats are part of your plan — not a paid add-on. The account Owner counts as one seat, and the rest are available to invite:

That means even the Free plan lets you bring in a second person at no cost, and Starter and Pro scale up as your team grows.

Here’s the part worth calling out plainly: comparable credentialing platforms often gate team collaboration behind their most expensive tiers, or charge per seat on top of the base subscription. Why we built it

Credentialing is rarely a solo job. A course provider has instructors who design badges and an operations lead who runs issuance. A conference has a marketing team building the artwork and a registration desk issuing on the day. A company recognizing employees has HR, a program manager, and an executive sponsor who just wants to see it working.

Forcing all of that through one shared login is fragile and insecure. Team Seats & Roles gives each person their own identity and the right level of access, while keeping every issuer, badge, and credential in one shared account.

Frequently Asked Questions

Does inviting a teammate cost extra? No. Seats are included in your plan — 2 on Free, 5 on Starter, 20 on Pro. There’s no per-seat charge on top of your subscription.

What happens if the invited person logs in with a different email? The invitation is tied to the email address you invited. To accept, they must sign in with that same address. If they use a different email, the invite won’t apply to that login.

Can I change someone’s role later? Yes. Roles aren’t permanent. From Settings → Team, the Owner or an Admin can change any member’s role or remove them at any time.

Who can manage billing? Only the Owner. Admins can manage members and all resources, but billing and the plan stay with the Owner.

Do teammates share the account’s issuers and credentials? Yes. Everyone works inside the same account, so all members see the same issuers, badge classes, and credentials — scoped to what their role permits.
